What is HRMS software and does your company need one?
A plain-language guide to HRMS: what it does, what it replaces, and the signs it is time to move off spreadsheets.
An HRMS (Human Resource Management System) is software that keeps employee records and runs HR processes in one place: onboarding, attendance, leave, payroll, documents and exit.
What an HRMS replaces
- Employee details scattered across spreadsheets and folders
- Attendance registers and manual leave counting
- Payroll worked out in Excel every month
- Offer, appointment and experience letters typed one at a time
- Approvals chased over email and WhatsApp
Core modules
- Core HR: one employee database with departments, designations, branches and reporting lines.
- Attendance and leave: punches, shifts, policies, balances and approvals.
- Payroll: salary structures, statutory deductions, payslips and bank files.
- Self-service: employees see their own payslips, leave and documents without asking HR.
- Documents and letters: issued on letterhead and stored securely.
Signs it is time to move
- HR spends the first week of every month on payroll.
- Nobody is sure what a leave balance should be, or why.
- You operate more than one branch or legal entity.
- A document or approval is regularly lost.
- You cannot answer "how many people joined and left this year" quickly.
What to look for
Check that payroll follows Indian statutory rules, that access is role-based, that employees can use it on a phone, and that data can be imported from your current spreadsheets.
