How Integritas Global Services collects, uses, shares and protects personal data on the Integritas HRMS website, including cookies, retention and your rights.

Who we are and what this covers
This Privacy Policy explains how Integritas Global Services ("we", "us") collects, uses, shares and protects personal data when you use this website, ask for a demo or contact us about Integritas HRMS. We are based in Bengaluru, India.
For the personal data we handle on this website, we decide why and how it is used, so we are the "Data Fiduciary" under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act"). Our DPDP Act Notice sets out your rights and how to use them, and should be read with this policy.
Customers' employee data is different. When a company uses the Integritas HRMS product to manage its own employees, that company decides how the employee data is used and we process it on the company's instructions. This policy does not cover that data; it is governed by the customer's agreement with us, and employees should contact their employer first. See section 14 of the DPDP Act Notice.
Information we collect

We do not ask for sensitive personal data such as financial account details, government identity numbers or health information on this website. Please do not send them to us.
How and why we use it
- To respond to you. To arrange and run a demo, answer questions and send a quote. We do this because you asked us to, and on the consent you give when you submit the form.
- To handle your data requests and complaints, and to keep a record that we did.
- To keep the site secure and prevent spam and misuse, for example by limiting how often a form can be submitted.
- To improve the site and our marketing, using analytics, only if you accept analytics cookies.
- To meet legal obligations and to establish or defend legal claims.
We use your details only for the purposes above. If we want to use them for something new, we will ask you first. We do not sell personal data.
Consent
When you submit the demo form you tick a box confirming you agree to us contacting you about your request. That consent is specific to the purpose, and we record the time and the version of this policy you agreed to. You can withdraw it at any time as easily as you gave it, by emailing info@integritas.in or using our data request form. Withdrawing consent does not affect what we did before you withdrew, and we will stop contacting you about the request.

If analytics is not switched on for the site, no analytics cookies are set and no banner appears. You can change your choice at any time with Cookie settings in the footer, or by clearing cookies in your browser.
Who we share it with
We share personal data only as needed to run the website and respond to you, with:
- Service providers acting for us, such as hosting, email delivery and (if you accept analytics cookies) Google Analytics, under confidentiality and data-protection obligations.
- Professional advisers such as lawyers and auditors, where needed.
- Authorities and courts, where the law requires us to, or to respond to a lawful request.
If our business is reorganised or sold, personal data may be transferred to the new owner, who must honour this policy.
Where data is stored
We store data on servers we or our providers operate. Some providers, such as analytics, may process data outside India. The DPDP Act allows this except to countries the Government of India restricts by notification, and we require the same level of protection from our providers.
How long we keep it
- Demo and enquiry details: up to 24 months after our last contact with you, unless you become a customer, in which case the customer agreement applies.
- Data-protection requests and our replies: 3 years, so we can show we handled them.
- Server and security logs: up to 90 days.
When the purpose is served, or when you withdraw consent and the law does not require us to keep it, we delete the data or make it anonymous. We may keep information longer if the law requires it or we need it for a legal claim.
How we protect it
We use reasonable security safeguards: encrypted connections (HTTPS), role-based access to our admin tools, two-step verification for administrators who enable it, sign-in throttling, audit logs of who views or exports leads, and limits on who can see what. No system is perfectly secure. If a personal data breach affects you, we will tell you and the Data Protection Board of India as the law requires.
Your rights
You can ask us to give you a summary of the personal data we hold and what we do with it, correct or complete it, erase it, stop using it by withdrawing consent, nominate someone to act for you if you die or cannot act, and handle a complaint. The DPDP Act Notice explains each right and our response times. To use any of them, fill in the data request form or email info@integritas.in. We may need to confirm who you are first.
Children
This website is for businesses and is not directed at anyone under 18. We do not knowingly collect personal data from children. If you think a child has given us data, tell us and we will delete it.
Other websites
This site links to other sites, including our parent business site at integritas.in. They have their own privacy policies and we are not responsible for them.
Changes to this policy
We may update this policy. The version and date at the top show the latest one. If a change affects how we use data you have already given us, we will tell you or ask for consent again where the law requires.
